Tasks versus checklists

1 min read Updated 3 Oct 2026

Two features that look similar and are not.

The distinction is worth holding on to, because conflating them makes both worse.

A checklist is the plan. Written before the work, the same on every job of that type, worked through in order.

A task is the exception. Raised during the work, because somebody noticed something that was not on anybody's list.

Tasks can point at a photo

This is the whole value. "The flashing needs redoing" is an opinion. The same sentence attached to the photograph that shows it is an instruction somebody can act on three days later without a phone call.

From a photo, choose Add task. From the job, use the Tasks tab.

Assignment and reminders

A task can have somebody's name and a date on it. When it falls due, the person it belongs to gets one reminder in their inbox — once, not every hour until they deal with it.
